Account setup, recording and evaluation
How to get started with the application (setting up an account, adding people, and more)?
The following steps are recommended to begin with:

Create your own account in the application. This will give you login credentials that you can use to log in to all available devices where you want to use the application. For example, a combination of a mobile application for more convenient and faster recording and a web application for clearer evaluation of the records is often used. Records are synchronised between devices.

After logging into the web application, it is advisable to briefly review your account settings (in the upper right part of the application) and the preset activities (in the Time tracking / Activities section) that can be recorded. There is a default setup in the application that, in our experience, many clients are comfortable with, however, it is not a problem to customize everything.

If you are planning to use the application within a group of people, e.g. in a company, you can add more people to your account in the People section (one of the main tabs in the top menu). Once a new person is saved, they will receive a message to their email (which has been provided for them) that they have been added to your account, and within this message they will receive all the necessary login details (including a link to set their own password).

There are many other things you can set up or use in the application (e.g. rates, contracts, vehicle logbook, privileges and more) and it mainly depends on your idea of what will be suitable for your needs. Feel free to contact customer support with specific questions. The first two calendar months are for free as a trial period. If after the trial period you want to have more people on your account, or you are an individual interested in the premium features you can take a look at the pricing.
People in multiple countries - is it better to have one account or separate accounts for each country?
The English (https://www.logeto.com), Czech (https://www.vykazprace.cz), Polish (https://www.raportpracy.pl/) and Slovak domains (https://www.vykazprace.sk) lead to exactly the same application. Only the account is important. Creating another account make sense if you need to separate company/branch data. In these cases it can mean increased clarity, rates in different currencies, separate billing for services, etc. However, there is a downside to establishing an additional account and that is the inability to report activities on the same contracts and view joint evaluations.
In the case of a multi-country account, each person can use the application in a different language, but you must take into account that the application can only work in one currency for the time being. For example, rates for work must be entered in one currency (e.g. Euro) and manually recalculated for a country with a different currency. Access to data can be conveniently separated by privileges and employees of one branch do not need to see the data of another branch. Another thing worth mentioning is working in one time zone. Data can be entered in different time zones, but the evaluation is from the perspective of one time zone.
The person does not have an email - how do I add them to the account so they can log in?
The application requires email as it is used as one of the login credentials. It is also used for security reasons, to reset passwords, etc. However, there is also a way to add a person without an email and give them login details.
1) Enter a fictional email in the email field. However, we strongly recommend that you choose an address that will not send emails to strangers about your account. For this purpose, it is best to use one of the following options:
a) The first option is to use a "local" domain instead of a national domain.
For example: person1@accountname.local
b) The second option is to use the domain logeto.net, the name of this domain is based on the English name of the application and we have reserved it for these cases.
For example: person1@logeto.net
If you choose one of these options, the application does not send anything to such email addresses.
Of course, you can also set up a fictional email on your domain or anywhere else. But the system will try to send emails there.
2) To set a password for a person, click on "Reset password" in the web application, in the People section. Here you can send the password reset email to your own address.
3) Once the password is set, simply give the person the details they will use to log in:
Account name: Selected by you when creating your account. You can find it in Settings / Account / Basic Information.
Email: Fictional email according to point 1.
Password: Set by you according to point 2.
What should I do if the email with the access information did not arrive to the new person?
The email should arrive pretty much immediately after the person is created. In rare cases, it happens that the email is delayed for example for an hour (however, it certainly should not be delayed for days).
There may be several possible causes. In order to find out why the process did not go well for your account, the following procedure is required:

In the web application, in the People section, check the email address with the person to ensure it is correct. Also check that the person's email inbox is not full. If the address is entered correctly and the mailbox is not full, continue to step 2.

For this person, click Edit and check on the first tab "Basic information" that the option "Access to system: Allowed" is selected. If not, set it to "Allowed" and save. If access has been set correctly before, continue to step 3.

Check the person's email inbox to make sure that the email with the login credentials did not go to spam (some email inboxes also have bulk email section, so check that as well). If the email is not there either, continue to step 4.

In the person's settings, select "Access to system: Denied", save, reopen the person settings, select " Access to system: Allowed" and save again. The system will then attempt to redeliver the email to the person's mailbox. Please make a note of the date and time you completed this point. If the email does not arrive again (even after a longer period of time - e.g. an hour), continue to point 5.

Send information to customer support as to what email address is filled in for the person and the date and time you noted in point 4.
What to set up and what to check for better overview of the people presence in the workplace?
Person settings:
In the default setting, people can record their activities freely. Either they can start the activity at the current time (during which the location of where they were will also be checked), or they can manually write the records and fill in any times (so it is not verified that they were at the location).
Two settings that are very helpful for checking the presence of individual people can be found in the web application, in the section People / Edit (selected person) / Entering records.
1) Person is forbidden to: Edit Time tracking information used for presence verification (activity type, location and time) - People with this setting will only be able to record activities by starting them at the current time. They will also be able to record absences by entering the total time. For records created, the person will not be able to edit the recorded activity type, location and time. It will still be possible to edit details such as description, contract, etc.
2) Person is forbidden to: Edit Event log - This setting is most often used in combination with the forbidden editing of presence verification information in Time tracking to achieve even deeper verification. Specifically for cases when a person attempts to bypass the application's behavior in some way. For example, this could be a situation when a person changes the time in their phone settings, then presses the start button and claims to have arrived at work earlier than they actually did.
In such situations, the Event log function, which runs in the background of Time tracking, can help. Whenever a person starts an activity at the current time or stops working, the application will also record this button press in the event log. The event log will also record if everything was ok when the activity was started and therefore if the record is verified. If someone subsequently makes edits to the event log, this is also a reason why the event log entry will be changed to unverified. Despite these protective features it is often easiest to forbid event log edits altogether.
Print reports:
All interesting print reports and overviews can be found in the web application.

Overview for salary calculation - detailed - This is the most frequently used print report, which is located on the main page (home icon), in the second tab "Reports". Based on Time tracking records, it dynamically displays everything you need. The basic information is the time worked for individual days and the whole month. The rest of the information is variable - if the person reported any vacation during the month, this line is also visible. The same applies for sick leave, night work and more.

Attendance worksheet - graphical - It is also located on the "Reports" tab. If this print report is shown with "Compare with event log" checked, it will give you graphical and numerical information about how much time has been entered into Time tracking and if this information matches the time measured in the event log. So if the person is not starting the activities at the current time and is just adding them manually later, this is a good way to check, as they will be missing from the event log.
Help for presence checks - column Unverified by events:
In the web application, you can add an "Unverified by events" column in the Time tracking page. Here you will see for what part of the recorded time it could not be verified that the person was actually present at the workplace. If everything is in order, this column will show 0:00. If a different time is shown here, something is not right.
For a deeper check of records with an unverified time, you can select such a record and use the "Related event log" button (above the table). You will see an exact comparison of what the person has recorded in Time tracking on a given day, what the Event log says they pressed at the current time, and whether during all the presses it was possible to verify their presence at the location.
What ways are there to record work and attendance?
The most versatile are applications for mobile phones and for PC. These two versions of the application allow you to record work and attendance in all the ways described below. The web application only allows manual recording and cannot start activities at the current time. The terminal, on the other hand, only allows activities to be started in the current time and does not allow manual entry (except for total time entry, such as 8h Vacation).
1) Starting activities in current time / manual recording: Use the buttons at the bottom of the screen (play, pause and stop icons) to record the start of your work, break and end of your workday. Each time you start a new activity, it automatically ends the one that was running. Each time you start/stop an activity, a location check is performed.
To record other activities (move, vacation, etc.), use the buttons that unfold by pressing the + button at the bottom of the screen.
If you want to record that you have started an activity now, you need to press the start icon on the right side of the screen. If you want to enter how many hours you have spent on an activity (e.g. 8 hours of holiday), or if you have forgotten to start an activity and want to write retrospectively from what time you have been working, you need to press the left part of the button where the name of the activity is.
You can record details of a running record by tapping on the record, filling in the record and saving it. In case you need to fill a subsequent work on multiple contracts, or with different details, just press the start button again after the first contract is completed. The running work will be ended and a new work will start, to which you will add different details.
2) Measuring time at the workplace and later breaking down the measured time on specific activities: This is a method (available on the mobile application and the PC application) where the time of presence at work is displayed as a grey-coloured hint and this measured time can be used to record specific activities.
In order to use this method, you need to change the method of use from "Time measurement" to "Coming / Leaving" in the settings. This can be done either in the web application (in the person settings) or in the settings of the mobile phone/PC application.
This setting adds a green button to the bottom of the Time Tracking screen that records presence at the workplace, but does not create a valid work record (which would count towards time worked). This allows you to successively record Coming in and Leaving work (red button).
Then tap on the measured time (with a grey background) to create a record or several records of the work done (with details such as the contract, and more). Each time you create a work record from a part of the measured time, the application will show you how much of the measured time is still left to be broken down.
How to evaluate the presence information in the Unverified by events column?
In the web application, one of the columns that can be added to the Time tracking table is the "Unverified by events" column. This column helps with checking the records in terms of the presence of a person at the location.
Whenever a person presses one of the buttons to immediately start or end an activity, this is recorded in the Time tracking and simultaneously, for deeper insight, also in the section called Event log (which takes care of time and location verification).
In the Unverified by events column, the administrator can see for which part of the recorded time it is possible to verify that the person was actually at the location. What the values in this column mean:
1) Time 0:00: This is the ideal state. It means that all the time recorded in Time tracking is valid (meaning that the person was at the given location at the start and end of the recording).
2) Time is missing in the column: This state means that there is nothing to verify because the record does not indicate from what time to what time the activity took place. This usually happens, for example, with recorded vacation, where only the number of hours in a given day is stated. However, this also happens if the person reports only the amount of hours of work activity. Another possibility is that the activity has started but has not yet ended.
3) Any other time: This is a time for which it is not possible to determine if the person was actually at the location (e.g. a situation in which the person in the "Hours" column has 8:00, but according to the "Unverified by events" column it was not possible to verify if 2 hours out of these 8 hours the person was at the stated location).
To help you evaluate the reasons, select the record and use the "Related event log" button (above the table). This will give you a clear comparison for the selected day, what is recorded in the Time tracking and what activities were pressed according to the Event log in the current times. Here is a list of situations and the probable causes of how they occurred.
a) In the Event log the start, end (or both) is missing: The record, or part of it, was written to Time tracking manually (without starting at the current time).
b) Event log shows different times than Time tracking: The activity was started at the time specified in the Event log, but subsequently the time (of start or end) of the activity was manually changed in Time tracking.
c) Time is unverified due to differences in locations: Even if the Time tracking and Event log times are identical, the record can be considered as unverified if the person manually adjusts the location in Time tracking after starting the activity and the location is different than the one automatically recorded by the application in the Event log according to GPS. Another possibility is that the person ends the activity at a different location than where the activity started without pressing the "Move" activity.
d) Even the Event log record itself may be unverified: Time tracking records cannot be verified by the Event log if something is already wrong in the Event log itself (in such case this is visible in the Event log). Possible causes:
- The record in the Event log was created manually or edited afterwards.
- Localisation has been disabled in the phone or application settings.
- Automatic time detection or time zone detection is not enabled in the phone settings.
Note: In the person settings it is possible to forbid/limit what the person can edit or manually add.
Methods of recording a break - fixed 30 minutes / regular recording during the day
In order for a break to be deducted from the time worked, it must interrupt the working time. There are several ways to achieve this:
1) Fixed 30 min - insertion in advance for the whole month - When you create a new lunch record, you can enter multiple days at the same time (even for several months in advance). If first there is a lunch record from 12:00 - 12:30 and then you press the start work button in the morning and the end work button in the evening, the running record will go around lunch and work will be automatically interrupted at that time. To make sure that the record is not accidentally overwritten (by pressing another activity during lunch), it can be locked when it is created.
If you prefer manual recording, where you do not press the buttons to start the activities, but directly record the time range when the work was done, the procedure is practically the same, only in this case locking the lunch is a necessity.
Locking records can be enabled in the web application, in the People section. In the person edit, this option can be found on the Entering records tab.
2) Fixed 30 mins - inserted into the whole month after the end of the month - During the month, the time worked is recorded first as usual and then lunch is inserted in bulk, into the fixed time.
So before lunch is inserted, the day may look like this: Work 8:00 - 16:45. Then you need to create a new record "Lunch 12:00 - 12:30" and when creating the record, insert it into multiple days at once (usually a whole month).
Since there is already a work record at this time, the application will ask if lunch should be prioritized. Once it is confirmed that lunch has priority, lunch will split the time worked on each selected day and produce records such as the following:
Work 8:00 – 12:00, Lunch 12:00 – 12:30, Work 12:30 – 16:45.
3) Regular recording during the day - by starting an activity - The day can be recorded as it happens. For example, on the mobile application, you can start the following activities during the day:
08:00 – Work
12:00 – Lunch
12:30 – Work
16:30 – End of work
Each press of a new activity automatically ends the previous activity. In the example above, there will be records in Time tracking:
Work 8:00 – 12:00, Lunch 12:00 – 12:30, Work 12:30 – 16:30.
4) Manual adding of the day's activities at any time, even retrospectively - Using the + button and selecting the activity name, you can fill in the time range when the activity took place. For example, in the evening you can add all the records for a given day in sequence. Thus, for example, the following three activities can be selected and added one by one:
Work 8:00 – 12:00
Lunch 12:00 – 12:30
Work 12:30 – 16:30.
Availability of individual methods - It is not possible to enter records manually in the terminal application for the time being. In the web application, on the other hand, it is not yet possible to start activities in the current time.
How to limit the earliest start of work and the latest end of work?
If, for example, you need work to start at 7:00 but people are pressing the start button as early as 6:42, you can use the following procedure (the same applies to the latest end of work).
1) In the web application, under Time tracking / Activities, press the + button to add a new activity with the following settings: Activity type "Break", Time entry "Optional", Name "Preparation for work" (can also be "Getting changed" or any other name that suits you).
2) Make sure you have the option to lock records enabled. Under People, select yourself and double-click to open the person edit. In the "Entering Records" tab, leave the "Person is forbidden to lock and unlock records" option unchecked.
3) In Time tracking, create a new record for the person and select the activity created in the first step. In the times from - to, fill in the range that should not be counted in the time worked, even if the person already presses start of work at these times (if the person has to start at 7:00, set the record of preparation for work to 6:00 - 7:00). When creating a new record, the record can be inserted into multiple days at once (even several months ahead) and locked before saving.
If first there is a record of preparation for work at 6:00 - 7:00 and the person presses the button to start work at 6:42, the application will record such a press, but the work record that will be created in Time tracking will start at 7:00. The real time of the starting of the work will still be visible in the Event log.
If you need to edit an already ongoing or past month, the procedure is the same, with one difference - when saving the preparation for work, the application will warn you that the existing records will be shortened (in our example, the record of work 6:42 - 15:30 will become a record of 7:00 - 15:30).
How to generate Vehicle logbook from movements recorded in Time tracking?
First, to be sure, check in the web application that you also have a "move" activity among your activities and that "Set as movement" is checked in the settings for this activity. If you do not have move in your list of activities, please create it.
Once you have the move activity, the process on the mobile application is simple:
- At the start of the trip, press the "move" button in the Time tracking section (select from the quick start buttons).
- When you arrive at the destination press another button to start another activity - for example "work".
- The time and location were recorded when pressing both buttons.
- Switch to the Vehicle logbook and select the vehicle for which you want to record the trip.
- The application will automatically offer a generated record, which you can recognize by the grey background of the line. Simply confirm it or slightly edit it.
- Times, locations and distance between locations will be filled in the confirmed record.
Notes:
- If you can not see the generated records in the Vehicle logbook, please make sure that the generated records are enabled in the Vehicle logbook - you can find this option in the bottom left part of the application (layers icon).
- The procedure is written primarily for the mobile application, where recording movements and confirming generated trips makes the most sense, but trips can also be confirmed in the PC application (from the MS Store).
What to do if an existing person cannot be deleted?
If you find that you cannot simply "delete" a person with the respective button, the reason for this is to ensure that you can still view records and other information associated with that person in the future. However, you can use a similar feature to prevent the person from logging in while also removing them from the switch between people (and other places).
- In web application, go to the People tab.
- Select a person and "Edit" them (pencil icon above the table with people).
- You are now in the person settings, on the first tab "Basic information".
- Here, in the bottom right corner, check "Validity ended" and click "Save".
If necessary, you can find the people with ended validity among the inactive ones. You can look at them using the switch located above the people table on the right. The switch is preset to "Active".
Is it possible to change the account name?
It is possible to rename an account on request, but it is not an automated process that can simply be done in the sense of "using the edit button". Renaming an account is done manually and takes time - with this in mind, there is also a fee to cover the costs involved (the current price can be checked with customer support). If you have had an account only for a short time and do not have a lot of information on it, in some cases it may be easier to delete the account and create a new one with your chosen name.
If you are interested in renaming, it must be arranged with customer support to sort out the billing information and the time when the renaming will take place. During the renaming process, the account must temporarily not be used (approximately 1 hour). Therefore, a convenient time needs to be arranged when this is possible on your side and when a member of the application development team will be available at the same time.
It is also necessary to tell the customer support the new account name - you can check the availability of the selected account name on the page for registering a new account, where the application will check in the first step whether the selected name is already in use (do not complete the registration).
Once the account has been renamed, all people on the account must log out of all devices and log in using the newly chosen name.
How can I delete my account?
We are sorry that the application is no longer beneficial to you. You can delete your account in the web application, in the Settings / Account / Delete account section.
Since the opinions of users are important to us and we try to take them as inspiration for further development, we would be grateful if you also send information to customer support about what you missed in the application or what was the reason for cancelling your account.
Technical information and problem solutions
Is it possible to restore accidentally deleted/changed records?
The most important thing in this regard is time. Usually, recovery is possible for some time. The system makes regular backups, but the backups are also automatically removed on a regular basis, so the sooner the problem is reported, the higher the chance of recovery.
Recovery itself is not an automated process that can simply be done in the sense of "using the restore button". Restoration is done manually and takes some time - with this in mind, there is also a fee to cover the costs involved. The current price can be checked with customer support. A cheaper option is to save the restored records to a file. A more expensive option is restoration directly to the account.
If you wish to have your records restored, you need to arrange the restoration with customer support to sort out the billing details and the details of what records are affected (for what people, what period, etc.).
How to update applications?
It depends on which device you are using the application on. Updates can be done as follows:
- Web application – is updated automatically.
- Phone with Android system – when your phone is in the usual setting, updates are offered automatically. Alternatively, it can be done manually in the "Google play store" and by searching for the application.
- Phone with iOS system – when your phone is in the usual setting, updates are offered automatically. Alternatively, it can be done manually in the "App Store" and by searching for the application.
- Application for PC with Win 10/11 – with standard Windows settings, updates are provided automatically. Alternatively, you can push Windows to update by opening the Microsoft Store and searching for an application.
- Terminal application – is updated automatically. In case it does not, it would be a faulty system setting or an application error. In this case, please do not hesitate to inform customer support as soon as possible to help you fix the problem.
How to automatically start a desktop application for a PC on Windows start?
Unfortunately, this option is not yet available in the application settings. The option for automatic startup after system start is included in the improvement suggestions that we are continuously processing. Until this option is available in the application, we have an alternative way for you to achieve startup after launch.
- Open the file browser (basically just open "This computer", or any folder) and click in the address bar. Paste "shell:AppsFolder" here and confirm with enter. This procedure will take you to the folder where the icon for launching our application is. It can be named Logeto, Raport pracy, or Výkaz práce.
- Right-click this icon to create a shortcut for the application. It will appear on your desktop.
- Using the same procedure as in step 1, enter "shell:startup" in the address bar and confirm. This will take you to a folder where you can place shortcuts for the programs you want to run when the system starts.
- Copy the application shortcut from the desktop and paste it into the startup folder.
If there is anything unclear in the procedure, please do not hesitate to contact customer support to go through the procedure with you.
What is the name of the application in individual countries?
The application is available under the name "Logeto" outside Poland, Czech and Slovak republics. In Poland, the application is called "Raport pracy". In the Czech and Slovak republics the application is called "Výkaz práce".
Does the application provide any certification in terms of fingerprint reader security?
The available readers (whether built into the terminal or standalone for the USB) are the product of our subcontractors. From our side, only the application itself is developed and installed in the "terminal" version on the offered devices. As this is not our product, we cannot issue the certificate directly.

To briefly summarize the content - this is a certification at such a level that this form of identification can be used (as determined by the United States of America government) for government employees, e.g. for access to government facilities and systems.
What should I do if the Microsoft store does not provide an update to Application for PC?
In most cases, this is an error on Microsoft's part, which unfortunately we cannot influence. Instructions are available in English only. Alternatively, our customer support can guide you over the phone. The important thing is to run the application as an administrator. If that does not work, customer support will try to resolve the issue with you via remote assistance directly on your computer.
Application for PC - what to do if it cannot be downloaded due to error 0x80131500?

Huawei - problems with downloading / functionality of the application on new models of this brand
New Huawei models do not include Google Play Store, so downloading the application is usually not possible. We have information that in some cases, users were able to download the application from the Huawei store, but some features of the application did not work properly. The reason for the poor functionality is that on new Huawei models (where the Google Play Store is not available), a set of features that the application is using and without which it cannot work properly are missing.
While we are sorry about such state, we cannot influence this situation - the situation is due to the US/China trade embargo, which has resulted in a large number of commonly used applications not working on the new Huawei phones.
Payments for the application
Where are invoices sent and where can they be downloaded?
The invoice for the use of the application is always sent to the "Billing email" after the end of the month. This email is set when selecting a pricing plan and can be changed in the web application, under Settings / Services billing / Active services. An invoice is also sent to the same email when purchasing prepaid services.
You can also download invoices for using the application at any time in the web application, under Settings / Services billing / Billing history. Invoices for the purchase of prepaid services can be found under Settings / Services billing / Prepaid services.
Note: Only the "Service billing administrator" has access to these parts of the application. This privilege can be granted by the account administrator to any other person in the People section, where after selecting the person, the privileges button can be clicked.
How do I correct billing information on an invoice that has already been issued?
Billing information on an existing invoice can only be changed upon request to customer support. The information for future invoices can be set after logging into the web application, under Settings / Services billing / Active services.
